We are seeking an Administrative Assistant to support our founder, manage outbound relationship workflows, and help us stay close to the most influential people in commercial real estate and architecture.
This role is part administrative assistant, part outreach coordinator, and part podcast manager. You’ll follow (and improve) proven systems to manage lead lists, personalize outbound messages, coordinate podcast guests, prepare proposals and schedule high-leverage calls.
You will work directly with Co-Founder and Partner, Rens Hayes. Your job is to help achieve key business objectives faster and more effectively thanks to your proactive support.
Responsibilities include, but are not limited to the following:
- Manage segmented HubSpot lead lists, research, and sequences.
- Conduct personalized outreach to new prospects.
- Execute personalized corporate gifting.
- Manage deal pipeline and proposal process.
- Own podcast guest outreach and scheduling.
- Manage website edits and updates.
- Collaborate with the H+O team and outside consultants as required.
The ideal candidate will have the following attributes:
- Highly organized, proactive and detail-oriented.
- Excellent verbal and written communication skills.
- Outgoing, comfortable striking up conversations.
- Enjoys supporting others and creating structure behind the scenes.
- Curious and coachable, with a bias for action.
- Excited to embrace AI.
Bonus points for candidates with prior administrative, proposal management, marketing or sales experience in the AEC industries.

Details, Compensation and Benefits:
- This is a full-time, hybrid role in our Boston office.
- Candidates must be located in the Greater Boston area with the ability to commute to the office twice per week.
- Compensation range: $60,000+ per year, commensurate with competencies and experience.
- A transparent bonus program aligned with company performance, paid out quarterly with an opportunity to earn up to 10% of the annual base salary.
