The Role:
We’re looking for an Executive Assistant to be the right hand to our Founder—and a key connector between H+O and the incredible people we work with. This role blends executive support, relationship outreach, and podcast coordination into one high-impact position. You’ll run (and continuously improve) our systems for managing lead lists, crafting personalized outreach, scheduling podcast guests, preparing proposals, and locking in high-value meetings.
You’ll work directly with Co-Founder and Partner, Rens Hayes, helping drive key business goals forward.
What you will be responsible for:
- Keeping Rens’ day on track: calendars, travel, calls, meetings – you’re the air traffic controller.
- Managing and optimizing HubSpot, including research and outreach sequences.
- Crafting and sending thoughtful, personalized outreach to new prospects to build meaningful connections.
- Executing high-touch corporate gifting campaigns that reflect H+O’s unique brand and relationship-first approach.
- Managing the deal pipeline—from proposal prep to follow-up—to keep opportunities moving forward.
- Leading podcast guest coordination: outreach, scheduling, confirmations, and prep.
- Collaborating with the H+O team and outside consultants as required to support strategic priorities.
- Support other areas of the business as needed with a hands-on, proactive approach.

- Rens is freed up to focus on leading the firm, building strategic relationships, and driving growth—because you’ve got the details covered.
What Makes You a Great Fit:
- 2+ years of experience:
- Supporting a senior executive or entrepreneur—ideally in a fast-paced, relationship-driven environment.
- Or proposal management, marketing or sales enablement experience in the AEC industries.
- Strong organizational skills with a sharp eye for detail and a love for creating order out of chaos.
- Excellent communication skills—you write clearly, professionally, and know how to tailor your tone for different audiences.
- Tech-savviness—confident using CRMs, scheduling tools, and productivity software (Google Workspace, Microsoft Office, etc.).
- A proactive mindset—you don’t wait to be told what to do; you anticipate, act, and follow through.
- A warm, confident presence and a natural instinct for building and maintaining strong relationships.
- We’d love to have someone full-time, but we’re also open to part-time candidates who can commit at least 25 hours per week.
